How Much Does a Coffee Cart Cost?

Every event we serve is different — a 20-person office morning and a 200-guest wedding don't cost the same, and they shouldn't. Rather than one-size-fits-all packages, we build each quote around your event. This guide walks you through exactly what shapes your price, so there are no surprises when your quote arrives.

Six Factors That Shape Your Quote

These are the same factors we weigh for every event, big or small:

  • Guest count. More guests means more drinks, more supplies, and sometimes an extra barista or cart to keep the line moving.

  • Service duration. How long you'd like the espresso bar open and pouring. Longer service windows add barista hours and supplies.

  • Event type. A weekday office visit, a Saturday wedding, and a multi-day brand activation each involve different levels of setup, staffing, and coordination.

  • Location and travel. We serve Asheville and the surrounding area. Events farther from our home base may include a travel fee.

  • Menu and add-ons. The standard espresso bar is included; extras like custom drinks, pastries, cold brew stations, or a second cart are quoted separately so you only pay for what you want.

  • Branding and customization. Custom cups, cart signage, printed menus, or a themed setup for brand activations are available as add-ons.

Included in Every Quote

  • A professional barista (or baristas) serving handcrafted drinks for your full service window

  • The cart, espresso machine, and all equipment — nothing to rent or provide on your end

  • Premium locally roasted coffee beans, milks, and syrups, including non-dairy options

  • Non-coffee options for guests who don't drink coffee

  • Setup and breakdown — we arrive early and leave the space as we found it

  • All cups, lids, napkins, and supplies

The price on your quote is the price you pay. No hidden fees, no surprise charges on event day.

How Pricing Differs by Event Type

Weddings

Wedding pricing reflects guest count, service timing (cocktail hour, reception, or late-night coffee bar), and any custom touches like signature drinks or personalized menus. Weekend dates book quickly, so early inquiries get the best availability.

Brand Activations & Trade Shows

Pricing scales with branding scope, number of baristas, and service hours. Multi-day events are quoted as a package rather than a day rate, which usually works in your favor.

Corporate Events & Office Visits

Office pop-ups, meetings, and conferences are typically priced by service duration and headcount. Recurring visits — a monthly office coffee day, for example — can be quoted as a series at a preferred rate.

Conferences & Expos

Conference pricing scales with attendee volume and hours on the floor — high-traffic events may need an additional barista or cart to keep lines short between sessions. Full-day and multi-day events are quoted as a package rather than a day rate, which typically works in your favor.

Private Parties & Celebrations

Birthdays, showers, graduations, and open houses are usually our most streamlined events: a standard service window, the full espresso menu, and simple setup. These tend to sit at the accessible end of our pricing.

What You're Really Paying For

A coffee cart isn't just coffee — it's an experience, a gathering point, and one less thing for you to manage. Here's how it compares to the alternatives:

Versus a coffee shop's catering box: Your guests get espresso drinks made to order by a live barista — not pots of drip coffee going lukewarm on a folding table.

Versus renting equipment yourself: No machine rentals to coordinate, no staff to find, no cleanup. One price covers the equipment, the expertise, and the experience.

Versus hiring a standalone barista: The cart, machine, ingredients, and setup are all included — not billed as separate line items you have to assemble yourself.
